This policy explains what personal data OmniMark Pro ("OmniMark", "we") handles, why, and the choices you have. It covers our website, the OmniMark app, and the public pages the app creates (booking pages, forms, chat widgets).

Two roles

For your own account (you and your team as our customers) we decide how data is used — we are the controller.

For the data you put into OmniMark about your contacts and customers (contacts, conversations, campaigns, bookings), your organisation is the controller and we process it on your instructions as a processor, under our Data Processing Agreement.

What we collect

Account data: name, email, company, role, password (stored only as a hash), two-factor settings, billing details.

Workspace data you add or connect: contacts, deals, messages and email, calls and recordings, social accounts, calendars, files, forms and bookings.

Technical data: IP address, browser and device, log records, and security events.

Product analytics: which features are used — only after a user accepts analytics in the app.

How we use it

To run the service you asked for (including sending the messages, emails and calls you set up), to bill you, to keep the service secure, to support you, and to improve the product.

We do not sell personal data, and we do not use your workspace data to train our own AI models.

AI features

When you use an AI feature, the content it needs is sent to the AI provider your workspace uses (see Sub-processors). Workspaces can bring their own AI provider keys. AI actions on your customers' conversations can be set to wait for a human's approval.

Browser extension

The OmniMark Chrome extension reads a LinkedIn profile or the sender of an open email only when you open the extension or press its Save button on that page, and sends what it read (name, job title, company, location, profile address, and an email or phone number if the page shows one) to your own workspace only when you press Save. It does not read other sites, track your browsing or send data to anyone else. Your API key is kept in Chrome's extension storage; delete it by removing the extension or revoking the key in Settings → API Keys.

Google user data

OmniMark's use and transfer of information received from Google APIs (Gmail and Google Calendar, when you connect them) to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use that information only to show your emails and meetings on your contacts' timelines, to send email you compose, and to check and create calendar events for bookings. We do not use it for advertising, we do not sell it, and humans do not read it except with your consent, to investigate abuse, or where the law requires.

Sharing

With the sub-processors listed on our Sub-processors page, under contract; with services you connect yourself (for example your Google calendar or Facebook page); and when the law requires it.

Retention and deletion

Workspace data is kept while the workspace exists. An owner can delete the workspace in Settings → Delete Workspace: everything is erased permanently 30 days later (you can cancel until then), and copies in our encrypted backups expire on a rolling basis within 6 months.

Payment records are kept by our payment processors (Stripe, Razorpay) as tax law requires.

Security

Encryption in transit (TLS); data at rest is encrypted by our database and storage providers, and access tokens and secrets are additionally encrypted by the application. Each workspace's data is isolated at the database level. Two-factor sign-in, role-based access and audit logs are available. See our Security page.

Your rights

Depending on where you live (for example under the GDPR, UK GDPR, CCPA or India's DPDP Act) you can ask to access, correct, export or delete your data, and object to or restrict some processing. Write to privacy@omnimarkpro.com. If you are a contact of one of our customers, we will pass your request to that customer, who controls your data.

You can also complain to your local data-protection authority.

Grievance Officer

If you have a complaint about how your personal data is handled (including under India's Digital Personal Data Protection Act), write to our Grievance Officer, Sanjeet Kumar Prajapati, at grievance@omnimarkpro.com. We acknowledge each complaint and tell you how we will handle it.

International transfers

Some sub-processors are outside your country. Where the law requires it we use safeguards such as the EU Standard Contractual Clauses.

Children

OmniMark is a business tool and isn't meant for anyone under 16.

Changes and contact

We will post changes here and tell account owners about important ones. Questions: privacy@omnimarkpro.com.
